Acceptable Use Policy (AUP)

PLEASE READ THIS ACCEPTABLE USE POLICY CAREFULLY BEFORE USING OUR PLATFORM.

Part I: General Provisions

This Acceptable Use Policy sets out the rules for using our software and services (collectively, our Platform). It applies to all persons who use the Platform, regardless of whether they are direct customers themselves or whether access to the Platform has been granted to them by one of our customers.

This AUP supplements our Terms of Service (available at letro.com/terms), our Privacy Policy (available at letro.com/privacy), and our Cookie Policy (available at letro.com/cookie-policy). To the extent that mandatory provisions of applicable open-source licenses apply to provided open-source components, these shall prevail in the event of a conflict, without affecting usage restrictions for the service as such. In the event of any conflict between this AUP and the Terms of Service, the Terms of Service shall prevail unless expressly stated otherwise.

By using our Platform, you confirm that you accept the provisions of this Acceptable Use Policy and agree to comply with them. You are also responsible for ensuring that all persons who access our Platform through your internet connection are aware of and comply with this Acceptable Use Policy and other applicable terms.

If you use the Platform because an organization for which you work or with which you are affiliated has purchased services from us, or because an organization has otherwise granted you access to its instance of the Platform, additional requirements may apply as set out in our agreement with that organization. That organization may also impose its own requirements and conditions for your use of our Platform, which you should comply with.

Letro may amend this Acceptable Use Policy with effect for the future if there is a valid reason to do so, in particular to adapt to changes in legislation, case law, security requirements, product developments, or to close regulatory gaps. Letro will provide notice in text form of any intended amendments at least six weeks before they take effect. Consumers may terminate the agreement within one month of receiving such notice. If the user objects to the amended terms and does not terminate, the agreement shall end at the time the amended terms take effect. This Policy was last updated on April 15, 2026.

You are responsible for maintaining the confidentiality of your access credentials (including passwords, API keys, and multi-factor authentication methods). You must notify us immediately if you suspect unauthorized access to your account or a security breach. We shall not be liable for any damages resulting from the unauthorized use of your account if you have breached your duty of care with respect to your access credentials.

Part II: Use of the Platform

If you use a feature that allows you to upload content to our Platform or to contact other users of our Platform, you must comply with the Prohibited Uses and Content Standards sections. You warrant that any such contribution complies with those sections, and you shall be liable to us and indemnify us for any breach of this warranty. This means you are responsible for any loss or damage we suffer as a result of your breach.

You must not use our Platform:

a) in any way that violates any applicable local, national, or international law or regulation;

b) in any way that is unlawful or fraudulent or has any unlawful or fraudulent purpose or effect;

c) for the purpose of harming or attempting to harm minors in any way;

d) to bully, insult, intimidate, or humiliate any person;

e) to send, knowingly receive, upload, download, use, or re-use any material that does not comply with the Content Standards;

f) to transmit or procure the transmission of any unsolicited or unauthorized advertising or promotional material or any other form of similar solicitation (spam);

g) to knowingly transmit any data, send or upload any material that contains viruses, Trojan horses, worms, time bombs, keystroke loggers, spyware, adware, or any other harmful programs or similar computer code designed to adversely affect the operation of any computer software or hardware;

h) in any way that involves the sexual exploitation or abuse of children;

i) to upload terrorist content;

j) to incite violence or glorify acts of violence;

k) to distribute instructions for self-harm or suicide.

You also agree:

a) not to reproduce, duplicate, copy, or resell any part of our Platform in violation of this Acceptable Use Policy;

b) not to access without authorization, interfere with, damage, or disrupt any part of our Platform; any equipment or network on which our Platform is stored; any software used in the provision of our Platform; or any equipment, network, or software owned or used by any third party;

c) not to obtain, use, or disclose without authorization any recovery codes, cryptographic keys, or other security-relevant information of third parties;

d) not to collect, process, or disclose personal data without an appropriate legal basis, and not to publish or unlawfully combine sensitive or identifying information of third parties without legal authorization;

e) not to decompile, disassemble, reverse engineer, or otherwise analyze or extract the source code, underlying ideas, or algorithms of the Platform or any part thereof, unless expressly permitted under mandatory law (in particular Section 69e of the German Copyright Act);

f) not to use automated systems, bots, crawlers, scrapers, or similar technologies to access the Platform, extract data, or systematically query the Platform, unless we have expressly authorized this in writing;

g) not to publish or share with third parties any performance tests, benchmarks, or comparative analyses of the Platform without our prior written consent;

h) not to share your access credentials with third parties, permit other persons to access your account, or transfer, sublicense, or resell your access to the Platform;

i) not to use the Platform in violation of applicable export and sanctions regulations, in particular if you are located in a country subject to economic sanctions of the EU, Switzerland, or other applicable jurisdictions.

Part III: Content Standards and Reporting Procedures

These Content Standards apply to any material you contribute to our Platform (Contribution), and to all related interactive services. The Content Standards must be complied with in spirit and in letter. The standards apply to each part of any Contribution as well as to the Contribution as a whole.

A Contribution must be accurate (where it states facts), genuinely held (where it states opinions), and comply with the law applicable in Switzerland, the EU, and in any country from which it is posted.

A Contribution must not: be defamatory of any person; contain obscene, offensive, hateful, or inflammatory content; bully, insult, intimidate, or humiliate; promote sexually explicit material; contain material depicting sexual abuse of children; promote violence; promote discrimination based on race, ethnicity, national origin, caste, sexual orientation, gender, gender identity, religious affiliation, age, disability, or disease; spread disinformation that is likely to endanger public health, safety, or democratic discourse; or use manipulated media content (including deepfakes) that is likely to deceive or harm individuals.

A Contribution must also not: infringe any copyright, database right, or trademark of any other person; be likely to deceive any person; breach any legal duty owed to a third party, such as a contractual duty or a duty of confidence; promote any illegal content or activity; be in contempt of court; be threatening, invade another’s privacy, or cause needless annoyance, inconvenience, or anxiety; be likely to harass, upset, embarrass, alarm, or annoy any other person.

A Contribution must further not: impersonate any person or misrepresent your identity or affiliation with any person; promote behavior that endangers health or safety; promote behavior that grossly contravenes environmental protection; cause physical, mental, or moral harm to minors; directly encourage such persons to purchase or rent goods or services exploiting their inexperience or credulity; give the impression that the Contribution emanates from us if this is not the case; or advocate, promote, incite, or assist in any unlawful or criminal act.

Part IV: Reporting Content

If you become aware of material hosted on Letro servers that may violate applicable law or these Terms of Service, you may contact us at [email protected]. This includes, but is not limited to:

• material that involves or relates to sexual abuse or exploitation of children;

• material that involves or relates to terrorist content;

• other unlawful content or content that violates our policies.

Please note that we have limited ability to moderate hosted cloud customer content (we cannot modify or delete content or ban users) as the customer generally does not grant us access to such content. If we receive such a complaint about content, we will contact the customer with the details provided to us, and this is the extent of the action that can be required of us.

If you wish to submit complaints about other content not hosted on our servers, including self-hosted customers, please also contact us at [email protected]. Please note that we have limited ability to moderate content or users in any way (we cannot modify or delete content or ban users) as the owner of the homeserver hosting the Platform generally does not grant us access to such content.

If we receive such a complaint about content, we will contact the owner of the homeserver with the details provided to us, and this is the extent of the action that can be required of us. In certain circumstances, we may (but are not obligated to) flag certain homeservers as non-searchable or apply a NSFW (not safe for work) filter to that homeserver or room.

Part V: Violations and Sanctions

If we consider that a breach of this Acceptable Use Policy has occurred, we may take such action as we deem appropriate. Any breach may result in the following measures: immediate, temporary, or permanent withdrawal of your right to use our Platform; immediate, temporary, or permanent removal of any Contributions uploaded by you to our Platform; the issue of a warning to you; legal action against you for reimbursement of all costs on an indemnity basis (including, but not limited to, reasonable administrative and legal costs) resulting from the breach; further legal action against you; disclosure of information to law enforcement authorities as we reasonably consider necessary or as required by law. The nature, scope, and duration of any measures shall be guided by the severity of the breach and the risk of repetition, and shall observe the principles of proportionality, objectivity, and non-discrimination.

To the extent permitted by law, we exclude our liability for actions taken in good faith and proportionately in response to breaches of this Acceptable Use Policy. The actions we may take are not limited to those described above, and we may take any other action we reasonably consider appropriate.
